How Pingtail suggests

Every suggestion says why. Your press, or nothing changes.

Pingtail suggests accounts, due dates, accruals and the line a receipt belongs to. Each one shows its reason, and none reaches the books before you press.

A tool that codes forty lines without saying why leaves you checking forty lines again.

Pingtail puts the reason beside each suggestion, so you check the reason, not the line.

  • Looks at the client's history first, then the bank text
  • Says which one it used, in words you can check
  • Waits for you before anything reaches the books

A suggestion for Harbour Cafe: Software, GST on purchases, 1 line, marked Check (a lower-confidence suggestion, not a tax flag): CANVA* SUBSCRIPTION A$17.99, with the reason Bank text matches CANVA, and Approve the 1.
The Post 1 line confirmation: TELSTRA BILL PAYMENT A$79 moves from Ask My Accountant to Telephone & internet expenses; the GST code stays GST on purchases; Cancel or Post 1 line.
Above: a suggestion for a CANVA line. This confirmation is for another line of the month, TELSTRA, after the client answered.

The order it looks in

Three places, in order. The first answer wins.

For each uncategorised line of money going out that you have not asked the client about, Pingtail looks here and stops at the first place that answers.

  1. First: This client's history

Lines from the same payee that your firm settled for this client in the last year.

The line saysCoded to Telephone & internet expenses 3 of 3 times

High when two or more lines agree and none differ. Check otherwise.

  2. Second: The bank text

A known kind of supplier in the bank text (a telco, a fuel station, a bank fee) and an account of that kind in the client's chart.

The line saysBank text matches “CANVA”

High for a bank fee. Check for the rest.

  3. Third: A new vendor

Neither answered. Pingtail picks from the client's own expense accounts, or suggests nothing when it is unsure.

The line saysa reason that starts with “New vendor”, so you can tell it from a habit.

High or Check, by how sure it is.

  4. Nothing fits? No suggestion. The line waits for you, or for your client's answer.

How it works

Suggestions across the month.

From the request to the month end, a suggestion always names what it is based on.

  1. Step 1: A due date for the request.

Pick a checklist, and the due date is suggested from your country's calendar. You can change it.

Period and due date: for a BAS, use the filing period; due 28 October 2026, suggested from your country's calendar, Business Activity Statement (quarterly).
  2. Step 2: A doubt about a file.

Every file is looked at the moment it lands. A wrong month is flagged on the client's page, and nothing is rejected: your client can still send it.

The Business Cheque statement card marked please fix: wrong-month.pdf looks like a different month from the one asked for, with Replace this file and This is correct, send it anyway.
  3. Step 3: The line a receipt belongs to.

Pingtail shows what it read from the file and the line it most likely belongs to. Attach it, or split the line first.

Amazon receipt.pdf, readable: the file covers A$35 of the A$45 line; split AMAZON AU MKTP into A$35 and A$10, each to an account you pick, then attach the file; Attach without splitting; what Pingtail read: receipt, total A$35, Amazon AU, tax A$3.18; likely AMAZON AU MKTP, 14 Sep, A$45.
  4. Step 4: An accrual at month end.

Money out in the first 7 days of the next month is listed, and you choose what to accrue. Nothing posts until you press Post to QuickBooks.

Accruals: costs that belong to September but were paid or billed after it; each becomes a proposed journal, reversed on the 1st of next month. 1 proposed journal: Telstra, dated 30 Sep, debit the expense account you choose, credit Accrued expenses, 90.20, with Post to QuickBooks and Drop this accrual.

What stays in your control

A suggestion is a reason, not a change.

You see why, you decide, and the books change only on your press.

  • Your press, nothing before it.

No line reaches QuickBooks until someone at your firm presses Post. The button names the count.

    On the screenPost 1 line

  • Account and GST code, first.

A suggestion picks an account. The line keeps its GST code, and the confirmation shows both before anything changes.

On the screenGST code stays: GST on purchases

  • Figures from the books.

Amounts come from the bank line or the receipt, never guessed. Month-end figures are read from the client's books, with the time they were read.

On the screenBalances read 21 Oct, 21:54

Who it is for

For the firm that checks before it posts.

  • Reviewers who want the working.

Each suggestion says where it came from, so a High from three past lines reads apart from a first guess.

  • Bookkeepers clearing a holding account.

Lines in Ask My Accountant or Uncategorised get a suggestion with its reason, ready for your check.

  • Clients on QuickBooks Online.

Lines are read from the client's company and posted back to it on your press.

Not what it does

  • Suggest for money coming in. Those lines are left to you.
  • Post, send or change anything on its own.

Before you start

Questions about suggestions.

Where does a suggestion come from?

From this client's earlier lines of the same payee, then the bank text. A new vendor gets one too. The first answer wins, and the reason says which it was.

What do High and Check mean?

High rests on two or more agreeing lines, a bank fee, or a new vendor Pingtail is very sure of. Check rests on less. Tick all high ticks only the High lines, so you look at the rest yourself.

Does a suggestion change the GST code?

No. It picks an account. The line keeps its GST code, and the confirmation shows it before you post.

Does Pingtail ever make up a figure?

No. Amounts come from the bank line or the receipt: a split takes its parts from the receipt's total, shown for you to check before anything changes. Month-end figures are read from the books.

What does it cost?

Suggestions are included in the price of each client; fair use applies. See pricing.
