Acceptable Use Policy

Pingtail may only be used to request documents from people who expect to hear from you. Requests that impersonate a bank, a government body or another company are removed, and the sending account is closed.

Acceptable Use Policy

Pingtail sends requests for documents to real people, in a firm's name. People must be able to trust those requests. This policy is part of our Terms of Service. It applies to every firm and every team member who uses the service.

The main rule

Only request documents from people who expect to hear from you. They should be your clients, or people who have asked to become your clients. You are the sender of every message. You must have a lawful reason to contact each person.

What you must not do

  • No impersonation. Do not pretend to be a bank, a government body, a tax authority, another company or another person. Use your firm's real name.
  • No phishing. Do not use the service to trick people into giving information or money.
  • No passwords or card numbers. Do not ask people for passwords, PINs, security codes or full payment card numbers.
  • No malware. Do not upload or send harmful files, links or code.
  • No unlawful content. Do not request, store or send content that is illegal, or that breaks someone else's rights.
  • No bulk unsolicited messages. Do not use the service for marketing, cold outreach or bought contact lists.
  • No reselling without agreement. Do not resell the service, or offer it under your own brand, unless we have agreed in writing.
  • No access to other customers' data. Do not try to view, guess or collect data that belongs to another firm or its clients.
  • No probing without permission. Do not scan, load test or attack the service, and do not try to get around its limits. If you want to test our security, ask us first at dipa@pingtail.com. Good-faith reports are welcome. See our Security page.
  • Respect sending limits. We limit how many requests and reminders an account can send. Do not try to avoid these limits, for example by opening several accounts.
  • Respect "stop reminders". If a person stops reminders, do not use the service to keep chasing them for the same request.

What we do if this policy is broken

  • Pause. One abuse report from a recipient pauses that firm's sending until we have reviewed it. We may also pause sending if we see signs of abuse ourselves.
  • Review. We look at the report and the request. We may ask you to explain. If the request was proper, we turn sending back on.
  • Suspend or close. If the breach is serious or repeated, we may suspend or close the account. Where we can, we let you export your files first. We may refuse this where it would cause harm or break the law.
  • Report. We report to the authorities where the law requires it.

We try to be fair and quick. Most reports are honest mistakes, such as a wrong email address, and are cleared after review.

How recipients can report a request

If you received a request that you did not expect, or that looks wrong, do not upload anything. Use the "Report this request" link. It is in every email and on every request page. You can also email dipa@pingtail.com. Tell us who the request claims to be from and send us the email if you can. We review every report.
