Month-end close

Every client's month, tied out and signed off.

Each balance-sheet account against its statement, a final review against last month, and a sign-off that names what is left.

It is the 18th, and you still cannot say which clients are closed, which wait on a statement and which wait on you.

Pingtail keeps each client's month on one page and says who acts next.

  • Ties each balance-sheet account to its statement or its source
  • Compares the profit and loss and the balance sheet with last month
  • Holds the sign-off until every account and report is done

Harbour Cafe's September month-end: 2 of 6 accounts reconciled. Each balance-sheet account shows its book balance, what it is compared to, the difference, the next step and its status; Suspense waits on the client's answer.

How it works

A month, closed in four steps.

The same steps for every client, so anyone at the firm can pick up where a colleague stopped.

  1. Step 1: Open the client's month.

The Clients board lists every client with its month-end step and who acts next: you, the client or Pingtail.

The Clients board for September: eleven clients on QuickBooks, Xero or no books, each with its lines, month-end step, documents and who acts next.
  2. Step 2: Tie each account.

Each account shows the book balance, what it is compared to and the difference. Missing a statement? Ask the client from the row.

Six balance-sheet accounts: Business Cheque differs from the statement by A$14.49, Savings waits for a statement balance, A/R and A/P are reconciled, GST is in progress and Suspense waits on the client.
  3. Step 3: Review against last month.

The profit and loss and the balance sheet, side by side with August. Lines that look off are marked for you to review.

Final review, 0 of 2 reviewed: profit and loss, September against August, 2 look off; balance sheet, September against August, 2 look off.
  4. Step 4: Sign off.

The sign-off names every account and report still open. When none is left, the preparer and the reviewer sign the month.

Sign-off, not started: 4 accounts and 2 reports to go before the sign-off, each named as a link. Under it: reconciles, matches and sign-offs are recorded in Pingtail, never written to QuickBooks.

What stays in your control

Your books change only when you post.

Month-end reads the client's books. It posts only the accrual journals you approve.

  • The close stays in Pingtail.

Ties, matches, the review and the sign-off are kept in Pingtail. They never change the client's QuickBooks.

On the screenReconciles, matches and sign-offs here are recorded in Pingtail, never written to QuickBooks.

  • Every figure from the books.

Each balance is the client's books as Pingtail read them, with the time of the read. Nothing is typed in or estimated.

On the screenBalances read 21 Oct, 21:54

  • No sign-off with work open.

The month cannot be signed while an account or a report is still open. Each one is named.

On the screen4 accounts and 2 reports to go before the sign-off.

Who it is for

Built for firms that close many small clients.

  • Small practices with a monthly close.

Ten clients or a hundred, each closed the same way, every month.

  • A preparer and a reviewer.

The reviewer sees who prepared the month and their notes, and can send it back.

  • Clients on QuickBooks Online.

Balances, open invoices and open bills are read from the client's company.

Not what it does

  • Connect to banks. Pingtail reads the books, not the bank.
  • Post the month for you. Every change to the books waits for someone at your firm.

Before you start

Questions about month-end.

Does Pingtail reconcile in QuickBooks for me?

No. Pingtail reads the balances and keeps your tie-out and sign-off in Pingtail. Nothing is written from the tie-out, the review or the sign-off.

Does anything on the month-end page post to the books?

Only an accrual you approve. Press Post and two new journals are created, the accrual and its reversal on the 1st, each read back. Nothing is deleted.

What if the client still owes a statement?

Ask for it from the account's row. The request goes out in your firm's name, and the row shows it waits on the client.

Can the reviewer send the month back?

Yes. The reviewer sees who prepared the period and their notes, and can send it back to the preparer.

What does it cost?

US$9 for each client, every 30 days, paid in advance. Month-end is included.
