Pingtail is a small company with a small product: a document request tool for bookkeeping, accounting and tax firms. This page says why we built it, what it is and is not, and how we work.
Why getting the right documents in is the job
Ask a bookkeeper what slows the month down and the first answer is "clients send things late". Look closer and a different problem appears. Most chasing is about files that arrived wrong, not files that never arrived. The client did send a bank statement. It was the July statement for an August request, or a PDF locked with a password, or four pages of a six-page document.
Each wrong file costs the same sequence: someone opens it days later, notices, writes an email, waits, and checks again. A reminder tool does not fix this, because the client believes they are finished. The fix is to tell the client at the moment of upload, while the right file is one click away. Pingtail was built around that idea.
What it is
You send a checklist for one client and one period. Your client opens a private link, with no account, and uploads from a computer or a phone. Each file is checked at once for problems such as the wrong period or missing pages. The check can ask your client to look again, but it never rejects a file; a person at your firm has the last word. Reminders list only what is still missing. The detail is on the features page.
What it is not
- Not a practice management suite. There is no time tracking, billing, e-signature or payment collection.
- Not a client portal with accounts and logins, and there is no client chat.
- Not connected to your accounting software. You export a zip of clearly named files and put them where you already work.
- Not certified. We do not hold SOC 2 or ISO 27001. What we do to protect files is on the security page.
If a spreadsheet and plain email work for your firm, keep them.
How we work
- Small on purpose. The product does one job, and we would rather do it well than add a second one.
- Plain language. The emails, the client page and this site use short sentences, because many readers use English as a second language.
- An honest pricing page. The pricing page lists only what is built. Every plan starts with a 14-day free trial. No card to sign up: you add a card only when you send your first request, nothing is charged before the trial ends, and you can cancel in one click.
- Tested as a user would use it. Before each release, every flow is tried in a real browser: sending a request, uploading a wrong file, getting a reminder, reviewing and exporting.
