Cookie Notice

The cookies Pingtail sets: a few strictly necessary ones for sign-in, security and your language, plus analytics or advertising cookies when they are switched on. Outside the UK and Europe those are on unless you reject them. In the UK and Europe they are off on your first page, and using the site further without choosing is treated as acceptance until you reject. Client upload pages never load analytics or advertising tags.

Cookie Notice

Pingtail sets a few cookies that the service needs to work. Everything else on this page is optional. This page is generated from what is actually switched on, so it always shows the current state.

The cookie banner is shown to every visitor, in every country, until you choose Accept or Reject. What happens before you choose depends on where you are. We work out your country on our own server, before the page is sent, from the country our network reports for your connection or from a database on our own server. No other service is asked.

  • Outside the United Kingdom and Europe (for example the United States, India, Australia, Canada): the optional cookies and tags below are on from your first page. We treat you as having accepted until you choose Reject.
  • In the United Kingdom, the European Union, Iceland, Liechtenstein, Norway and Switzerland, and when we cannot tell your country: nothing optional is set or loaded until you press Accept. Using the site without choosing is not treated as acceptance.
  • Everywhere: Reject always wins. It deletes our visitor cookie, removes the id from our records, stops the tags, and is remembered for 12 months. If your browser sends the Global Privacy Control signal, advertising cookies and tags stay off whatever else applies.

Cookies we set ourselves (strictly necessary)

NamePurposeLifetime
pd_sessionKeeps a firm user signed in. HttpOnly, sent only over HTTPS.Up to 14 days, or until you log out
pd_csrfProtects forms against cross-site request forgery. HttpOnly.1 year
pd_trustSet only when a firm user ticks "Remember this browser" at two-step login, so that browser is not asked for a code again. HttpOnly.30 days, or until you forget the browser or sign out everywhere
pd_langRemembers the language you picked.1 year
pd_curRemembers the currency you picked on the pricing page.1 year
pd_devClient upload pages only: marks a device that has confirmed a code, so a private link opened elsewhere asks again. HttpOnly.13 months
pt_clientClient portal (/my) only: keeps a client signed in to see their open requests. HttpOnly.Up to 30 days
pt_consentRemembers your cookie choices.12 months
pt_tevCarries a single event such as "signed up" to the next page, then is deleted. No personal data. HttpOnly.30 minutes

The light or dark theme choice is stored in your browser's local storage under pt-theme; it never leaves your device. Client upload pages and the client portal never load analytics or advertising tags.

Our own visit count

We count visits to the public website on our own server, in our own database. For each public page opened we record the page address, the website you came from (its name only, such as "google.com"), the campaign tags in the link you followed, and your country. We do not record your IP address or your browser. While nothing optional is on for your browser (see the rule for your country above), that is all we record: a count with no visitor cookie and no id, so two visits cannot be tied together or to you.

The pt_vid cookie. When optional cookies are on for your browser (see the rule for your country above) we set one cookie of our own, pt_vid. It holds a random id. It lets us link the pages you open, and the link or campaign that first brought you here, to a later signup, so we can see which pages and campaigns bring firms that go on to use Pingtail. Only we read it. It lasts 12 months. If you choose Reject, we delete the cookie and remove the id from our records at once. A visitor we have not seen for 13 months is forgotten, and visit records are deleted after 25 months.

Analytics and advertising from other companies

Switched on right now: Google Analytics 4.

NameProvider and purposeLifetimeConsent category
_gaGoogle Analytics 4: a random id that tells visits from the same browser apart.2 yearsanalytics
_ga_*Google Analytics 4: keeps the state of the current session.2 yearsanalytics

When they load. A provider's script is requested only when its category is on for your browser under the rule for your country above. Our server decides that before the page is sent, so nothing loads first and asks later. They load on public pages and, for a single page view, on three pages inside the app that show nothing about a firm's clients (the first-run screen, the plan page and a blank "one moment" page). They never load on client upload pages, the client portal, or any page that shows a client, a request or a document.

What is sent. Page addresses (with only non-personal query values such as language and campaign tags), the kind of action ("viewed pricing", "signed up", "started checkout", "started a trial", "first payment") and, for those actions, the plan name, the billing interval, the currency and the price. We never send your name, email address, phone number, your firm's name or anything about your clients or their documents. Automatic form scanning offered by some ad providers is switched off.

Your choices

Choose which cookies we may use

This form works without JavaScript. Cookie settings at the bottom of any page does the same. Refusing deletes the analytics and advertising cookies we can reach on this website. Your choice is kept in the pt_consent cookie for 12 months; after that the banner asks again and the rule for your country applies. You can also delete cookies in your browser.

Emails

We put no tracking pixels in any email. A link to a public page in an email we send to a firm carries three plain tags (utm_source, utm_medium, utm_campaign) that name the email, not the person. Emails a firm sends to its clients, and the upload links in them, carry no tags at all.
